PracticeBasis Talk to us
For yoga studios on Mindbody

Mindbody runs your studio. Nobody runs your mornings.

PracticeBasis is an AI office manager that works on top of Mindbody. A teacher calls out at 5:47am; by the time you're awake it has found a substitute, settled it with everyone who was asked, and written the change back into Mindbody. You keep Mindbody exactly as it is.

Friday morning

Ashley woke up sick, so I moved the 4:30 Power Yoga to Jake and updated Mindbody. Everything else is staffed.

Handled for you

Needs you

Nothing needs you today.

The short version

We don't replace Mindbody. We don't compete with it either.

Mindbody is your system of record and it stays that way. PracticeBasis never asks your students to learn a new app, never touches a payment, and never becomes a second place your schedule lives.

Stays in Mindbody

We read it. We don't touch it.

  • The schedule of record — classes, times, rooms, staff
  • Student booking, waitlists, and check-in
  • Payments, memberships, packages, retail
  • Every message that goes to a student
  • Your reporting and your history

Comes to PracticeBasis

The work nobody's software was doing.

  • Call-outs, and finding the substitute
  • Every text to your teachers — and every messy reply
  • The morning briefing: what's handled, what needs you
  • Chasing the thing that would otherwise sit in your head
  • The one decision a day that actually needs a person

We message your staff.
Mindbody messages your students.

A Friday in August

What actually happens while you're asleep

This is the whole product in one morning. Nothing here needed you.

5:47a
Ashley texts the studio line. woke up with a fever, no way I can do the 4:30 today, sorry!!
5:47a
Shanti reads it. Not a keyword — a sentence. She works out which class Ashley means, and starts the search.
5:48a
The three teachers qualified to teach Power Yoga get a text — in the order you set, not all at once, not the whole staff. Oakdale Yoga: Can you cover 4:30p Power Yoga today (Fri Aug 14) for Ashley? Reply YES or NO.
6:02a
Jake says yes. yeah I can take it
6:02a
Everyone hears how it ended. The other two aren't left wondering — they're told it's covered and thanked for being on call. First yes wins; a late yes gets a straight answer, not silence.
6:02a
Mindbody is updated. Jake is the teacher on that class, in your system of record, before your students look at the app.
7:15a
You wake up and read one line about it.
The office manager

Her name is Shanti, and she'll just do it

Every studio this size has the same missing hire: someone who holds the small stuff so the owner doesn't. Shanti is that, in text form.

Ask her in plain language

"Who's teaching the 4:30 tomorrow?" "Find a sub for Tuesday's 6am." "Cancel Sunday's restorative." She answers, and where it's an action, she asks you to confirm before she does it.

She reads what teachers actually write

Nobody replies "YES" in all caps. They write "sure, but only if it ends by 7" — and she can tell that apart from a no.

She knows when to stop and ask

When two teachers share a phone number and a reply comes in, she doesn't guess which one it was. She says so and asks you. Silent wrong answers are the failure this product exists to prevent.

She writes you one note a morning

Not a dashboard. A note: what's handled, and what needs you. On a good day it says nothing needs you — and that sentence is the point of the whole thing.

The connection

It reads a lot. It writes almost nothing.

The reason to trust an add-on is knowing exactly how far into your system it can reach. Here's the whole surface.

Reading: your schedule, kept in sync

PracticeBasis mirrors your Mindbody classes, teachers, and locations so it knows who teaches what and who's qualified to cover it. Running the sync twice changes nothing the second time — no duplicate classes, no drift.

Writing: one field, and only one

When a substitute is confirmed, PracticeBasis sets the teacher on that class in Mindbody. That is the only write it makes. Not bookings, not clients, not sales, not your schedule, not your prices — ever.

Rules decide. AI only reads and writes words.

Who's qualified, who gets asked first, how long an offer stays open, who wins when two people reply at once, what gets written back — all of that is plain rules you set, not a model's judgment. The AI reads incoming texts and drafts your morning note. That's the line, and it doesn't move.

Turn it off and nothing of yours breaks

Your schedule, students, and history live in Mindbody the whole time. PracticeBasis leaves with its own data and yours stays where it was.

Early access

We're onboarding a small number of Mindbody studios.

If you own a yoga, Pilates, or barre studio with somewhere between five and thirty teachers, and your mornings are held together by your own phone, we'd like to talk to you.

What early access means, plainly: you'll be working directly with the person who builds it, the coverage and briefing features described on this page are working today, and text messaging switches on for your studio once carrier registration for your number completes — typically a few weeks. We'll tell you where things stand before you commit to anything.
